DescriptionRandstad in partnership with The Hanover Insurance Group are actively searching for an experiences Conference & Travel Specialist / Event Planner to join their team on a long-term contract basis at their corporate office in Worcester, MA. Plan and execute meetings, events and conventions to ensure clients' satisfaction and meet set criteria. Work under general supervision. Involved in contract negotiations with outside vendors and budget planning for the events. Make procedure-level recommendations. Generally handles smaller, "standard" business meetings.
Working hours: Monday - Friday 8:30am-5:00pm or 8:00am-4:30pm (Flexible)
--Negotiate contracts with outside vendors (Hotels, destination management companies, awards/gifts representatives and various other meeting support vendors), in connection with the Company's events and meetings. Requires judgement, sensitivity and ingenuity in appraising the capabilities of hotels and other suppliers.
--Determines and guarantees room requirements well in advance of each meeting. Independently determines and guarantees costs for food functions, tours, recreational facilities, etc. These calculations have a measurable impact on the Company's financial responsibility to the hotel and other vendors contracted for each meeting as well as the final budget of the event being planned.
--Accountable for managing meeting/event budgets in order that they come in as projected at the conclusion of the event. Provide up-to-date reports for management at the conclusion of each meeting to include survey results (whenever applicable) as well as financial recap reporting. Works closely with Sr. Conference & Travel Specialists as well as Director for training related needs to ensure a balanced budget.
Required Skills, Key Competencies and Experience:
--Establish and maintain a network of contacts in the Hospitality industry and at other Corporations
--Negotiation skills with goal of maximizing savings and concessions
--Act as a Fiduciary with the utmost integrity.
--Managing logistical responsibilities associated with the event/meeting to include: registration, communications, production, speaker support, food & beverage, travel, accommodations, staffing, site-selection and activities.
--Typically has 1-3 years of corporate meeting management or hotel event planning experience. College degree or certificate in meetings management preferred.
