The incumbent provides administrative services and project and program management support to the Diversity & Inclusion Office reporting to the Chief Diversity and Inclusion officer. This position requires a flexible nature and respect for the diversity inherent in colleagues and visitors and an eagerness to learn. The incumbent must represent the department in a professional manner with tact, diplomacy, discretion, and good judgment. He/she will manage calendars for department directors; assist with meeting logistics including communication follow-up, course reminders and other departmental activities.

Working hours: day job


1. Maintains complex, high volume calendars for department directors

- Collaborates with leadership to ensure sound calendar management, adequate balance of meeting time, work time and general availability

- Communicates schedule changes in timely manner

- Proactively identifies calendar conflicts and works with directors to resolve

2. Schedules and supports department meetings and events

- Collaborates with other assistants from PHS and external organizations to schedule meetings and events

- Ensures meeting participants have accurate meeting logistics (location, directions, etc.)

- Attends meetings as necessary, takes notes and disseminates information effectively

- Arranges for conference room and technical support (i.e.: projector, teleconferencing services) and prepares materials as necessary

3. Other duties, including, but not limited to:

- Tracks, enters and reports department employees' weekly hours through

- Keeps updated the Diversity & Inclusion's inbox and SharePoint site e.g. calendar, files

- Creates presentations as necessary

- Prepares and tracks expense reports for Directors

- Provide project coordination support for education efforts (i.e.: Mentor Program)

- Processes and tracks purchase orders, invoices, check requests, reimbursements, and other transactions

- Assists in the preparation for new employee arrivals, including office/cube preparation, IDs, security, computer set-up; manages scheduling for new hire orientation program
