POSITION SUMMARY: Under the direction of the Accounts Payable Supervisor, the Accounts Payable Accountant will have the primary day-to-day responsibility to perform a wide variety of technical and administrative accounting duties primarily in managing the full-cycle accounts payable. The Accounts Payable Accountant will be responsible for full-cycle accounts payable, assisting the Accounts Payable Supervisor with the oversight of the section, and develop and document policies and procedures related to the accounts payable process.


  • Responsible for full-cycle accounts payable, process general accounts payable invoices and check requests for payment, review invoices and account statements for accuracy,; follow up with staff from other departments for invoice approval and general ledger charge codes, and ensure approval is within the signers authorized expenditure authority, print accounts payable checks and confirm with treasurer for fund availability prior to release of checks.

  • Interface and respond to inquiries from vendors and staff from other departments/units, audit invoices and conduct research to correct accounts payable discrepancies and prepare adjustment journal entries.

  • Monitors daily accounts payable balancing reports. Assists with monthly and year-end closing preparation relative to open purchase orders, prepaid expenses, accrued liability reconciliations and other year-end processes.

  • Collect IRS W-9 forms, reviews forms for accuracy and codes 1099 vendors accordingly within the Accounts Payable system. Assist with the preparation of the annual 1099 process.

  • Provide a variety of accounting support by assisting with the reconciliation of accounts payable aging reports and journal entries into the general ledger system.

  • Monitor and maintain the Accounts Payable group email mailbox answering questions and forwarding emails to the appropriate parties for follow up as necessary and appropriate.

  • Reconcile, research and manage accounts-payable related unclaimed property of the affiliate, including research of payments and addresses, update of default addresses, and mailing of mandatory notifications.

  • Analyze, review and process accruals on a monthly basis.

  • Analyze and reconcile vendor statements, research discrepancies, maintains and updates vendor information in AP system.

  • Monitor, process and reconcile the affiliate s corporate credit card transactions.

  • Process check runs start to finish through NetSuite ERP system.

  • Assist Accounting Payable Supervisor in problem solving as needed.


Ability to perform the duties as described above for appropriate level. A typical means of acquiring these abilities would be:

  • Bachelor s Degree in finance, accounting, business, economics or related field is preferred; 5 years of directly relevant experience may be considered in lieu of a college degree.


  • Detailed knowledge of key Accounting policies, procedures, and concepts.

  • Advanced knowledge of financial terms and principles.

  • Proficient in Excel and Word, 10-key by touch, NetSuite ERP experience a plus.

  • Advanced knowledge of Accounts Payable processes including requisitions, purchase orders, receiving reports, coding of allocations, invoice management, approval processes, check processing, journal entries, and general ledger reconciliations.

  • Demonstrated skill to interpret, explain and ensure compliance with Affiliate policies and procedures.

  • Ability to plan, organize and prioritize multiple assignments.

  • Ability to work effectively in a team environment; capability of effective planning and priority setting; ability to manage several projects simultaneously while working under pressure to meet deadlines.

  • Ability to communicate with all levels of staff with tact, sensitivity and professionalism.

  • Ability to maintain a work environment using proper judgment, problems solving skills and conflict resolution methods to make decisions.
