Our client is looking for a Meeting Services Coordinator for a 6 month contract opportunity in Sacramento, CA.
Summary of Position:
The Meeting Services Coordinator supports the activities of the Events Department and the Director of Meetings & Events by coordinating internal meeting space at the Office as well as coordinating logistics and assisting with special meetings & events sponsored by the CLIENT and its affiliates.
Essential Duties and Responsibilities:
Book & maintain Outlook calendar for conference room rentals at the office and follow up with members, clients and internal staff on their set-up needs for these meetings. Coordinate special needs for rooms such as after-hours elevator service, security, etc. for the meeting rooms.
Track conference room rental payments & route checks/paperwork to accounting
Draft correspondence & invoices
Assist with event registration, coordination and volunteer management for events sponsored by the CLIENT and its affiliates to include: conferences, meetings, luncheons, receptions, staff events and seminars.
Manage and track email invitations & responses
Update and create informational & registration Database(s) as needed
Assist in invitation mailings
Coordinate logistics for quarterly board meetings
Site selection and contracts for Labor Law Seminars
Coordinate logistics for Luncheon Forums held throughout the year
Make & receive phone calls
Assistant backup for President/CEO
Provide W.A.C.E. staff with database support
Provide receptionist relief as scheduled
Some minimal travel may be required for event onsite support
Solid communication skills, both oral and written
Strong organizational skills
Proficient in MS Office, Word, Excel, and Access
AA or BA degree
1- 2 years experience in meeting planning or certificate or educational experience in meeting planning/event coordination
