The Administrative Assistant will be responsible for the following:

-Support Vice Presidents with calendar coordination, meeting coordination and scheduling, prepare and edit presentation materials, travel and conference arrangements, expense tracking and submission, telephone coverage, and support other special projects as needed.

-Schedule meetings while ensuring that all preparations are made prior. Includes reservations of conference rooms, arranging dialing instructions, registering visitors, order food (if necessary) and ensuring all materials are printed and ready for all participants - particular focus for senior level steering committee meetings.

-Assisting VP s with reconciling and processing invoices for key projects

-Event Coordination - Provide and offer assistance to the CIO s Administrative Assistant with departmental events and meetings including outside functions including budget management.

-Order, maintain and manage the budget for office supplies for the IT Department including stationary, business cards and special order items.

-Prepare accurate expense reports for VP s and direct reports and ensure the corporate card is balanced and paid timely

-Arrangement of domestic and international travel arrangements including transportation, hotel and dining arrangements and creation of detailed travel itineraries.

-Responsible for tracking and submitting time and attendance.

Working hours: Monday-Friday 9-5


Qualified candidates must possess the following:

-Associate degree or BS/BA preferred.

-3-5 years administrative experience supporting a team and/or senior level executives in a fast paced environment

-Exceptional interpersonal skills, business writing skills and verbal communication skills, deadline driven and organizational skills

-Must have excellent follow up skills

-Ability to interact professionally with high-level executives on a regular basis

-Ability to work independently as well as part of team

-Proven mastery of MS Office Applications (Word, Excel, PowerPoint and Outlook)

-Ability to manage multiple tasks effectively, while handling frequent interruptions

-Must be flexible with changing job requirements as the business needs change
