DescriptionTitle: Administrative Assistant

Compensation: $40K-$45K Base

Location: Blue Lagoon - Miami, FL


The Office Assistant will responsible for providing administrative support to ensure efficient operation of the office, located in the Blue Lagoon area in Miami, FL. The person in this position will perform routine administrative duties to all Directors in their group.


- Supporting Directors

- Schedule management

- Prepares reports, presentations, memorandums and mails

- Assists in maintaining files and databases

- Provides support such as scanning, copying, printing of documents, answering telephone, etc.

- Submit and reconcile expense reports

- Making travel, hotel and transportation arrangements

Supporting the office

- Monitor, order and maintain office supplies

- Support in office events and meetings

- Coordinate messenger and courier service

- Receive, sort and distribute incoming mail

- Do translations English x Spanish

- Answer phones and transfer to the appropriate staff member

- Provide general support to visitors, greets and signs in visitors and directs them to their staff contact

- Update and maintain internal staff contact lists

- Co-ordinate and maintain staff administrative records such as staff parking

- Manage the clean services

- Maintains supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to work stations.

- Coordinate lobby screen video (with Mkt and HR)

Working hours: 8 am - 5 pm



- Fluency in English and Spanish is required

- 2 years or more related experience

- High School Diploma or Equivalent

- Associates Degree preferred

- Proficient in MS office tool, including PowerPoint and Excel

- Excellent written and verbal communications

- Ability to prioritize multiple tasks throughout the work period
