ESSENTIAL DUTIES AND RESPONSIBILITIES: The following duties are generally representative of the nature and level of work assigned and are not necessarily all inclusive.

Facilities:

¿ Collaborate with the Office Manager to resolve various maintenance issues

¿ Reconcile various invoices against receipts

¿ Assist in alphabetizing statements, confirmations, and other items for filing

¿ Assist in processing outgoing mailers, including labeling, stuffing and sealing envelopes

¿ Assist Mailroom Associate with distribution of incoming parcels

Reception Desk:

¿ Place, receive, and route high volume of calls

¿ Greet all visitors including clients, vendors, and job candidates with warmth & enthusiasm

¿ Keep front lobby and reception desk tidy and organized

¿ Monitor areas throughout the suite for cleanliness & service supplies

¿ Manage suite activities including VIP schedules, expected vendors and visitors

¿ Manage and distribute parking validations

¿ Manage the Analyst Meeting Calendar - book conference rooms, coordinate catering needs, and conferencing with IT Service Desk

¿ Manage lunch ordering system (Seamless Web)

¿ Coordinate guests and interview candidates on Passage Point

¿ Manage corporate newspaper descriptions

¿ Act as liaison with CBRE to coordinate maintenance requests for facilities

SUPERVISORY RESPONSIBILITIES: This position does not entail any supervisory responsibilities

EDUCATION AND/OR EXPERIENCE:

¿ Minimum of 3 years experience working in a business environment

¿ Intermediate computer skills (Windows XP)

  • Outlook

  • Word

  • Excel

¿ Basic clerical skills with the potential to learn new projects

¿ Sorting and filing experience

¿ Finance/Investment industry knowledge a plus

PHYSICAL DEMANDS: While performing the duties of this job, the employee is frequently required to lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds
