  • The chosen candidate will have a deep understanding of records management and information governance principals, policy, and best practices for overall program management.

Policy Creation, Documentation, Analysis, Administration

  • Performs and documents business analysis. Develops functional specifications for records and information governance systems and ensures that records and information governance system user interfaces are designed for ease of use and tailored to the needs of stakeholders across business areas (including Legal, HR, Research & Development, & Manufacturing)

  • Willingness to perform analytical tasks and track progress formally

  • Ability to and affinity for clearly presenting on progress or projects and programs using Microsoft Excel and PowerPoint

  • Maintains awareness of policy changes and revises documentation as necessary to reflect new records management and information governance processes and / or technologies.

  • Technical aptitude and general knowledge regarding IT systems, software, related technology and integration with information governance policy and program elements.

  • Authors, collects, reviews and maintains accurate and high quality information governance policy, procedures, standards and guidelines documentation

  • Ability to perform administrative tasks including calendar management, scribing during meetings, maintaining project documentation, and organizing departmental documentation

Communication and Consultation

  • Ability to explain complex and/or technical topics relating to information governance to those who have no prior knowledge of the Company s systems and policies is a must.

  • Must be capable of independently authoring and presenting professional documents, presentations, procedures, and/or educational material on records management and information governance topics on intranet and among diverse business stakeholders.

Risk Management

  • Assists departmental leadership in identifying and containing risks relating to information management, and fostering a compliance culture in regards to information governance.

  • Maintains awareness of major changes affecting document/records management and information governance and develops material to stakeholders so that they may better serve their clients and meet their ethical obligations to their clients.

  • Assists with projects and initiatives that result in the measurable reduction of costs and/or minimizes risks relating to records management and information classification, access and disposition.

Project Management and Collaboration

  • Leads strategic projects relating to records and information governance in accordance with company policies and industry best practices.

  • Effectively manages resources and prioritizes projects in order to mitigate records and information management compliance risk.

  • Successfully creates project plans, proposes and schedules resources and meets project milestones based on high-level management guidance and knowledge of the overall goals and objectives of assigned projects.

  • Works with senior management and committees in the development and enhancement of processes to ensure compliance with all applicable information and technology requirements; coordinate the development and maintenance of supporting procedures.

  • Comfortable representing Records Management and Information Governance on Information Technology and Business project teams

  • Maintains good working relationships with all personnel responsible for planning and / or executing information governance support, and works collaboratively to meet project deadlines and deliver concrete results.

Minimum Requirements

  • Bachelor s degree, preferably relating to library science, IT, law, compliance, life sciences, information management, or business.

  • Experience in pharmaceutical industry along with certifications relating to RIM, IG, Project Management, and Six Sigma or alike are strongly preferred.

  • Strong working knowledge of Microsoft Office Suite products.

  • Microsoft Project software skills or equivalent project management tools are a plus.

  • Knowledge of and skill in using Microsoft SharePoint.

  • Excellent attention to detail - accuracy and thoroughness are very important in this role.

  • Outstanding communication skills in all forms.

  • A self-starter that can juggle multiple projects efficiently.
