This position is responsible for performing a wide variety of administrative support duties in a manner which will ensure the proper functioning of the business unit and enhance the productivity and effectiveness of the department. The position works under the specific instruction and direction of one or more higher level leaders and will provide administrative support to an individual office. Incumbents are regularly responsible for dealing professionally with confidential information while performing several aspects of assigned work. Specific tasks may be answering phones, maintaining files, scheduling appointments, producing correspondence, spreadsheets and presentation and otherwise relieving those supported administrative tasks and serve as back-up to other Sr. Admin's as needed. Works under general supervision.

Specific Duties:

  1. Manage the calendars and any changes in schedules for several senior executives

Schedule meetings and workshops for large groups including arranging meals for attendees and planning business dinners

  1. Ensure meeting participants have appropriate access to facilities and systems

  2. Create / prepare meeting materials, i.e., PowerPoint presentations, spreadsheets and meeting agendas, and ensure distribution to appropriate individuals in a timely manner

  3. Schedule and set - up resources and technology needed for meetings and events, i.e., conference rooms, catering, WebEx, and Telepresence

  4. Plan and organize logistics of large events both on/offsite

  5. Routine administration of file maintenance

  6. Track and submit expense reports on behalf of leaders

  7. Interact with individuals at all levels of the organization

  8. Work effectively as an integral member of a team

  9. Handle confidential information with complete discretion

Working hours: M-F 8am-5pm

Skills:

Must have qualifications/experience:

--HS Diploma or GED

--Intermediate or greater proficiency in MS Outlook, Word, Excel and PowerPoint

--2+ years of experience working in a large, fast-paced, corporate environment

--2+ years of experience providing administrative support to an executive at the Director level or above

--1+ years of experience supporting 3 or more executives concurrently

--1+ years of experience scheduling travel, both domestic and international

--1+ years of experience creating and submitting expense reports

--Polished demeanor, executive presence, strong relationship management skills and demonstrated experience delivering a high level of internal and external customer service

--Professional and articulate verbal and written communication skills

--Experience managing multiple tasks with competing priorities

--Experience working in a large, matrix corporate environment

--Proven interpersonal skills and emotional intelligence, with the ability to diplomatically resolve conflict with tact and sensitivity
